Workflows · Customer follow-up · Documentation
Put a clear next step behind the work.
A new inquiry comes in. An estimate goes out. Someone needs to follow up, schedule the job, or explain a change. When those steps live across inboxes, spreadsheets, and memory, it is hard to know what needs attention.
FSF helps growing trade and service businesses design and connect practical systems. We begin with one workflow and the tools you already use.
Inquiries and follow-up
Shared records, responsible owners, estimate status, next-action dates, and clear stop conditions.
Workflows and automation
Remove unnecessary steps first. Connect approved systems where useful, with failure alerts and a manual fallback.
Documentation and visibility
Short operating guides, onboarding checklists, manageable reporting, and a clear route for exceptions.
Two practical places to start
Commercial cleaning
Organize the inquiry-to-walkthrough-to-proposal process. Make it clear what was requested, who owns the next step, and what must be confirmed before recurring service begins.
Plumbing and other service trades
Organize unsold estimates for planned work. Keep the existing dispatch and job-management system in place. Clarify follow-up responsibilities, customer preferences, and the handoff for approved work.
How it works
- Check the fit. Describe one workflow and the systems involved. We confirm whether it fits our scope.
- Audit the process. Map what happens today and identify useful changes, including changes you can make yourself.
- Agree on the build. Confirm deliverables, responsibilities, fees, access, and acceptance criteria before implementation.
- Test and train. Use fictional records, check failures, and practice the handoff.
- Own the result. Your business owns its accounts, records, documentation, and operating decisions.
Start small. Know what is included.
An Operations Audit reviews one primary workflow. A Starter Build implements a defined workflow across a limited number of applications. Broader builds and ongoing support require a separate written scope. We do not sell unlimited administration or promise a particular financial result.
Where AI fits
AI may help draft a routine message or organize approved information. It is optional. Private information, access permissions, factual checks, and human approval come first. A reliable manual process is a valid outcome.
We do not replace full ERP or field-service platforms, run emergency dispatch, provide environmental consulting, or make professional legal, tax, financial, or safety decisions for clients.
Service work is separate from FSF educational membership. No service purchase is required to use our free resources.
